Saskatchewan Chicken Industry Development Fund (SCIDF)

REPORTING REQUIREMENTS FOR RECIPIENTS OF SCIDF GRANTS FOR APPLIED POULTRY RESEARCH

General

1. The general purpose of these guidelines is to keep the SCIDF Board informed of research progress and expenses to date relative to the project milestones anticipated when funding was approved.

2. In the normal course of events, for projects lasting one year or less SCIDF will advance 50% of total approved expenditures at the beginning of the project. The remainder of the funds will be disbursed upon the receipt of (i) a final report in the form outlined below and (ii) an invoice.

3. Progress reports are required for multi-year projects. For multi-year projects, SCIDF will normally advance 50% of annual approved expenditures at the beginning of each project year and the remaining 50% upon receipt of a progress report in the form outlined below. Funding for the second and subsequent years of a multi-year project is contingent upon significant research progress in prior years. The final payment will be made upon the receipt of (i) a final report in the form outlined below and (ii) an invoice.

4. The Board expects that funds that are not required to achieve the objectives of the research will not be invoiced with the final report.

Progress Reports

A hard copy and an electronic file, preferably in MSWORD, are required. The report should be no longer than is necessary to accurately convey the status of the project and should avoid the use of technical jargon as much as possible. The report should follow the following format:

(a) Overview- a brief (preferably one page or less) overview of the status of the project including: research activities during the period, significant milestones achieved, actual versus budgeted expenses and anticipated expenses to project completion.

(b) Research Activity During the Period- describe in as non-technical terms as possible what was done during the reporting period and any preliminary results, if applicable.

(c) Other Activity During the Period- briefly describe any other activity related to the project such as extension meetings to obtain input or discuss results, presentations at conferences etc.

(d) Expenses to Date and Projections to Project Completion- using the same categories of expense as in the approved budget, provide:

  • a comparison of budget to date versus expenditures to date.
  • a comparison of the anticipated percentage of completion of each milestone as of the reporting date versus the actual percentage of completion.
  • a projection, by category of expense, of expenditures to project completion.
  • 'Expenditures to date' means financial resources consumed to date including amounts that are not yet recorded in the project's account, such as: unpaid wages, supplies consumed for which an invoice has not been received etc. 'Expenditures to date' may be different than the amounts charged to the project's account.

Final Reports

A hard copy and an electronic copy, preferably in MSWORD, are required. The report should be no longer than is necessary to accurately convey the results of the research and should use non-technical terms whenever possible. The following format should be used:

(a) Abstract/Summary- a general overview of the project, including research objectives and /or hypotheses to be tested, brief description of the methodology employed, results obtained, conclusions, practical implications for Saskatchewan poultry producers, plans to disseminate
project findings.

(b) Background- briefly outline the rationale and objectives for the project.

(c) Methodology- a general description of how the research was conducted including experimental design, timeframe, materials used, where the research was conducted etc

(d) Results- discuss the project results including their statistical and practical significance.

(e) Conclusions and Recommendations- identify the most important conclusions from the research relating these to the project’s objectives, provide recommendations for future research and for the practical application of the results to Saskatchewan producers.

(f) Dissemination Strategy- outline any plans to disseminate the results such as journal articles, presentations at conferences etc. Acknowledgement of SCIDF funding should be made in any dissemination activities.

(g) Financial Summary – using the same categories of expense as in the approved budget, provide:

  • a comparison of budget versus actual expenses
  • an explanation of any major variances
  • 'Actual Expenses' means financial resources consumed to date including amounts that are not yet recorded in the project's account, such as: unpaid wages, supplies consumed for which an invoice has not been received etc. 'Actual Expenses' may be different than the amounts charged to the project's account.

Presentation to Producers

A presentation to the producers at their annual meeting in March is a condition of funding. The presentation is to be approximately 15 minutes long and preferably in powerpoint.


REPORTING REQUIREMENTS FOR RECIPIENTS OF SCIDF PROMOTIONAL GRANTS

General

1. SCIDF provides grants for a number of activities such as awards and
scholarships, conferences and conventions, trade shows etc. that have relevance for the industry. The grants are awarded on a 'first-come-first-served' basis up to an annual limit set by the SCIDF Board. The grants are typically in the $1000-$3000 range. Because of the nature of these activities and the smaller dollar amounts involved, the reporting requirements are less stringent than for applied poultry research projects or market development projects.

2. Funds will be disbursed on receipt of (i) a project report in the form outlined
below and (ii) an invoice.

Project Report

The report should be in sufficient detail for the SCIDF Board to determine whether or not it received value for money. This will assist the Board in determining whether or not it will fund the same or similar activities in future years. The report should contain at least the following:

  • a description of the general nature of the activity: date and location, type of activity- trade show, conference etc, whether the event was national, regional or local, the general purpose of the event, the number of attendees and where they were from, length of the event, material covered in various sessions etc.
  • efforts that were made to acknowledge SCIDF's support of the event.
  • total cost of the event by major category of expenditure.
